Emergency Evacuation Policy

  1. Purpose

This policy sets out how First Kick Football manages emergency evacuation and closure in the event of fire, flood, power failure, or other incidents. It complies with the EYFS 2023 (Safety and suitability of premises, environment and equipment) and Keeping Children Safe in Education 2025. 

  1. Roles & Responsibilities

– Operations Director: ensures evacuation procedures and staff training are in place.
– Holiday Club Manager: acts as lead on site during any evacuation; ensures registers, emergency contacts, first-aid kit and emergency medication are taken out where safe.
– Office Team: hold back-up registers and contact details off site; liaise with parents/carers during an emergency closure.
– All Staff: follow evacuation routes, supervise children, and support the Manager. 

  1. Evacuation Procedure

1) Alarm raised or instruction to evacuate given.
2) Evacuate via the nearest safe exit; do not collect belongings.
3) Assemble at the designated assembly point.
4) Manager/lead staff take register and account for all children, staff, and visitors.
5) If anyone is missing, inform emergency services immediately.
6) Remain at assembly point until advised it is safe or until children are collected. 

  1. Emergency Closure

– In the event of severe weather, loss of utilities, or another serious incident, the Operations Director will decide if the Club must close.
– Parents/carers will be notified by phone, email, or text message as soon as possible.
– Staff will remain with children until safe collection arrangements are made. 

  1. Drills & Record Keeping

– An emergency evacuation drill will be carried out at least once per year.
– Drills are recorded in the log with date, time, evacuation time, and any issues.
– Staff receive training at induction and periodic refreshers. 

  1. Review

This policy will be reviewed annually, or sooner if required by changes in legislation, guidance, venue arrangements, or following an incident.
