Purpose
First Kick CIC is committed to protecting children and young people while allowing parents and carers to celebrate achievements. This policy sets out how photography and video will be managed safely at football sessions, matches, and holiday clubs.
Principles
– The welfare of children is paramount.
– Images of children must be used responsibly and never put children at risk.
– Parental/carer consent is always obtained before taking or using photographs or video.
– Images are treated as personal data under UK GDPR and the Data Protection Act 2018.
Procedures
– Consent: Written consent is obtained from parents/carers at registration.
– Staff/Volunteers: Staff may only take photos or videos using organisation-owned devices, never personal phones or cameras.
– Parents/Carers: May take photos/videos at events only with prior permission and under supervision. They must not post images online without consent.
– Storage: Images are stored securely and deleted when no longer required.
– Publicity: Images used for marketing/social media will only be published with explicit parental consent.
– Prohibited:
• No photography in toilets, changing areas, or situations that may compromise children’s dignity.
• No unauthorised filming of sessions.
Responsibilities
– Operations Director (Suleman Desai): overall responsibility for compliance with this policy.
– HR & Coaching Performance Manager / Welfare Officer (Danny Nolan): ensures consent records are kept and responds to concerns about photography/video.
– Holiday Club Manager (Lee Galloway): ensures rules are followed at holiday clubs.
– Head of Mini Kickers (Chris Ganner): ensures Mini Kickers sessions follow this policy.
– SENDCO (Dana Aubrey-Williams): considers additional consent/safeguarding measures for children with SEND.
Review
This policy will be reviewed annually, or sooner if safeguarding, GDPR, or FA guidance changes.
