1. Purpose
This policy outlines First Kick’s position on refunds, cancellations, and booking changes for Holiday Club provision. It ensures consistency, fairness, and transparent communication for parents and staff, complementing the existing Admissions & Fees Policy and Uncollected Children Policy.
2. Non-Refundable Bookings
All holiday club bookings are non-refundable once confirmed. This applies to all payment types, including card payments, Childcare Vouchers, and Tax-Free Childcare. No refunds, credits, or transfers will be issued for parent cancellations or absences, regardless of personal circumstances. Rationale: Staffing, venue, and equipment costs are confirmed upon booking to ensure safe ratios and smooth delivery. Once a child’s place is booked, that space is reserved and unavailable to others.
3. Booking Amendments
Changes may be made up to seven (7) days before the booked date(s), provided the requested change remains within the same holiday club period. Changes requested less than seven (7) days before the booked date cannot be accommodated. All change requests must be made via the online booking system or by calling Head Office directly. Email requests are not accepted. Holiday Club Periods:
– February Holidays – Easter Holidays – May Holidays – Summer Holidays – October Holidays – Christmas Holidays Example: If you book a Wednesday in the February Holidays, you may move that booking (with more than 7 days’ notice) to another available date within the same February Holiday period only.
4. Absences
If a child is unable to attend due to illness, holidays, or other personal reasons, no refund, credit, or transfer will be provided. Parents are encouraged to check bookings carefully prior to payment to avoid disappointment.
5. Unforeseen Closures
In the rare event that a club session is cancelled due to circumstances beyond our control (e.g. severe weather, school closure, staff sickness, or government restrictions): – A credit will be automatically applied to the parent’s account for future use. – If preferred, parents may request a refund for the cancelled session. – If an entire holiday club period is cancelled, the same credit and refund options apply.
6. Behaviour and Safety
Where a child is removed or banned from a Holiday Club due to behaviour or safety concerns, no refund or credit will be issued for unused sessions. This ensures the wellbeing of all children and staff.
