Social Media Policy

1. Policy Statement 

First Kick Football recognises that social media is a powerful communication tool. However, inappropriate use can damage reputations, compromise safeguarding, and breach confidentiality. This policy sets out clear standards for staff, volunteers, and contractors when using social media in both professional and personal contexts. 

2. Legislative and Regulatory Framework 

  • Data Protection Act 2018 and UK GDPR 
  • Equality Act 2010 
  • Defamation Act 2013 
  • Safeguarding legislation (Children Act 1989 & 2004, Working Together 2023, KCSIE 2025, EYFS 2024) 
  • FA and County FA safeguarding guidance 

3. Scope 

This policy applies to all staff, volunteers, contractors, and anyone representing First Kick Football, including use of: 

  • Club-operated accounts (e.g., Facebook, Instagram, Twitter, TikTok, YouTube, WhatsApp) 
  • Personal accounts where individuals are identifiable as being associated with the club 

4. Acceptable Use 

  • Club accounts must be used only for approved purposes and managed by authorised staff. 
  • All content must be respectful, inclusive, and aligned with the club’s values. 
  • Safeguarding and child protection must always take priority. 
  • Staff must not “friend” or “follow” children under 18 on personal accounts. 
  • Consent must be obtained from parents/carers before posting children’s images. 

5. Prohibited Use 

  • Sharing confidential or sensitive information about children, families, or colleagues. 
  • Posting content that is discriminatory, offensive, defamatory, or damaging to the club. 
  • Engaging in online arguments, bullying, or harassment. 
  • Contacting children, young people, or vulnerable adults through personal accounts. 
  • Sharing images, videos, or information about children without consent. 

6. Breaches of Policy 

Breaches will be treated seriously and may result in disciplinary action under the Staff Disciplinary Policy. Serious breaches may result in dismissal and/or referral to statutory or football authorities. 

7. Responsibilities 

  • Operations Director – overall responsibility for compliance. 
  • HR & Coaching Performance Manager / Welfare Officer (Danny Nolan) – ensures staff are trained in safe online practice and monitors compliance. 
  • Holiday Club Manager (Lee Galloway) – ensures adherence across holiday clubs. 
  • All Staff – must comply with this policy and immediately report concerns about online content. 

8. Review 

This policy will be reviewed annually or earlier if required by law or safeguarding updates.
