1. Policy Statement
First Kick Football is committed to providing a fair, safe, and supportive workplace. We encourage open communication to resolve issues quickly and informally wherever possible. This policy provides a structured process for employees to raise concerns or complaints.
2. Legislative Framework

- Keeping Children Safe in Education (KCSIE 2025)
3. Informal Resolution
Employees are encouraged to raise concerns informally with their line manager. Most issues can be resolved through discussion, mediation, or support.
4. Formal Grievance Procedure
Step 1: Written Grievance
The employee submits a written grievance to their line manager (or to the Operations Director if the grievance involves their line manager).
Step 2: Grievance Meeting
A meeting is arranged to discuss the grievance. The employee may be accompanied by a colleague or trade union representative.
Step 3: Outcome
The outcome will be confirmed in writing, usually within 5 working days. Possible outcomes: grievance upheld, partially upheld, or not upheld.
Step 4: Appeal
Employees may appeal the outcome in writing within 5 working days. Appeals will be heard by a senior manager not previously involved.
5. Overlapping Grievance and Disciplinary Cases
If a grievance is raised during disciplinary proceedings, the processes may run concurrently or separately, depending on the circumstances.
6. Responsibilities
- Operations Director – overall responsibility for fair application of the grievance procedure.
- HR & Coaching Performance Manager / Welfare Officer (Danny Nolan) – supports grievance handling, ensures ACAS compliance, and oversees appeals.
- Holiday Club Manager (Lee Galloway) – deals with grievances at club level and escalates where necessary.
- All Staff – should raise concerns early and engage constructively with the process.
7. Review
This policy will be reviewed annually or earlier if required by law.
