Trips, Visits & Off-Site Activities Policy

Purpose 

First Kick CIC recognises that trips, visits, and off-site activities provide valuable opportunities for children to learn, develop, and have fun. This policy sets out how such activities are planned and delivered safely. 

Principles 

– The welfare and safety of children is the top priority.
– Trips must be inclusive and accessible for all children.
– Activities are risk assessed in advance.
– Parental consent is always obtained.
– Staff ratios and supervision are strictly maintained. 

Procedures 

– Planning: All trips/visits are planned in advance and approved by the Operations Director.
– Risk Assessment: A written risk assessment is completed for every off-site activity, covering travel, venue, activities, medical needs, and emergencies.
– Consent: Written parental consent is required for each off-site activity.
– Supervision: Ratios follow the Staff Ratios Policy, with enhanced supervision where risk is higher.
– Transport: First Kick CIC does not provide transport. Parents are responsible for drop-off and collection unless otherwise arranged in writing.
– Emergency Procedures: A designated leader carries emergency contact details, medical info, and a first aid kit. Any incidents are reported in line with the Accident/Incident Policy.
– Photography/Video: Managed in line with the Photography & Video Policy. 

Responsibilities 

– Operations Director (Suleman Desai): approves trips and ensures procedures are followed.
– HR & Coaching Performance Manager / Welfare Officer (Danny Nolan): ensures safeguarding standards are met and liaises with parents if concerns arise.
– Holiday Club Manager (Lee Galloway): oversees trips during holiday clubs and ensures staff are briefed.
– Head of Mini Kickers (Chris Ganner): ensures Mini Kickers off-site activities are planned and supervised safely.
– SENDCO (Dana Aubrey-Williams): ensures adjustments and additional support are in place for children with SEND. 

Review 

This policy will be reviewed annually, or sooner if statutory requirements, FA guidance, or organisational needs change.
