Visitors Policy

1. Policy Statement 

First Kick Football is committed to providing a safe and secure environment for children, staff, and families. This policy ensures all visitors are properly identified, supervised, and recorded to maintain safeguarding standards. 

2. Legislative Framework 

  • Early Years Foundation Stage (EYFS 2024) 
  • Keeping Children Safe in Education (KCSIE 2025) 
  • Working Together to Safeguard Children (2023) 
  • Health and Safety at Work Act 1974 
  • Equality Act 2010 

3. Procedures for Visitors 

  • All visitors must sign in and out using the visitors’ log or digital system. 
  • Visitors must wear a visitor’s badge or lanyard at all times while on site. 
  • Visitors must be escorted or supervised by a member of staff at all times unless they hold an enhanced DBS check cleared by First Kick Football. 
  • Mobile phones must not be used to photograph or record children. 
  • Contractors working on site during operational hours will be supervised unless they provide evidence of DBS clearance. 
  • Parents/carers attending events (e.g., open days, tournaments) will be reminded of safeguarding expectations, including restrictions on photography where applicable. 

4. Safeguarding Procedures 

  • Any unknown or unauthorised person on site will be challenged and reported immediately to the Holiday Club Manager or most senior staff member present. 
  • If a visitor refuses to comply or poses a risk, the Police may be contacted. 
  • Records of all visitors are retained in line with data protection requirements. 

5. Responsibilities 

  • Operations Director – overall responsibility for safeguarding and visitor management systems. 
  • HR & Coaching Performance Manager / Welfare Officer (Danny Nolan) – ensures safeguarding procedures are followed and staff are trained in managing visitors. 
  • Holiday Club Manager (Lee Galloway) – responsible for day-to-day visitor management across holiday clubs. 
  • All Staff – must remain vigilant, challenge unauthorised visitors, and follow safeguarding procedures. 

6. Review 

This policy will be reviewed annually or earlier if required by law, safeguarding updates, or inspection.
